Your privacy is important to CMANZ. We commit to using any personal information (including your information or opinions that can reasonably identify you) in a responsible way.
The Privacy Act 1988 (Cth), the Australian Privacy Principles and Payment Card Industry Data Security Standard (PCI DSS) all apply to CMANZ and guide us in managing your personal information (PI).
CMANZ’s Privacy Policy will explain how, why and when we collect, use and disclose your personal information, and what to do you if you have any questions, concerns or complaints. You can request to change your information or details at any time by writing to CMANZ.

Scope
If you provide any personal information to CMANZ, you are consenting to us collecting, using or disclosing this information, and storing this information as per this policy.
Who does it apply to?
This policy applies to anyone who engages with us via any official CMANZ channels, including our website, phone line, social media channels, during meetings or other official functions or any other CMANZ-sanctioned activities.
What information do we collect?
CMANZ only collects information that helps us to engage with you. For example, to process a donation or issue a receipt, or to record your support for our work.
Information may include:
- Personal details – Name, date of birth, age
- Contact details – Postal addresses, email address, phone numbers
- Information related to areas of our work you may be interested in supporting or learning more about
- Payment card details as well as transaction details and payment history
- Records of communication with us, and details of preferences for information
- Conversations with a representative of CMANZ that may help us with the support or information you require
- Information if you complete a survey that helps us create programs to support
- Any information including resumes, references or work histories if you would like to work or volunteer with us
Please note that we will not retain information for supporters under the age of 18 without express parental consent.
There may be circumstances where we are legally required to provide this information to the relevant authorities.
What information do we collect on our website?
CMANZ may use information to tailor your online experience to make it more relevant to your situation. If we use advertising companies (e.g. Google, Facebook), to place ads on third party websites, the advertising company uses cookies and may collect information about the server your device is logged into, the browser type, date and time of your visit and our marketing performance. If you see our ads on another website, please take time to read their privacy policy as information on those pages are outside of CMANZ’s control.
We make every effort to protect those who are not yet adults. As such, parents or guardians will need to provide consent for anyone under 18 to provide and access data.
Social Media Use
If you engage with us on social media channels e.g. LinkedIn, Facebook, you can control how you receive our content via that channel’s settings.
How is my personal information used?
We only use your personal information for the purpose it was collected e.g., to help with your query or to support you further.
Examples of where we use your information:
- To process donations or payments
- To send you information that you have requested
- To fulfil requests about your change of details
- To tell you about our work via social media or traditional channels e.g. email, letters
- To verify your identity (when you make a request)
- To maintain and update our records
- To address any service enquiries
- To record your experiences to help improve our service to you
- When you have indicated that you have intended to leave us a bequest or have requested information or enquired about how you can support CMANZ through your will.
We never sell, exchange or otherwise pass on your personal information without your consent.
Keeping your information safe:
CMANZ stores and manages your personal information in accordance with the Australian Privacy Principles. Unfortunately, no data transmission over the internet can be guaranteed as secure, and as such CMANZ can’t ensure the security of any information you transmit to us from any online services, and you do so at your own risk. However, once we receive your transmission, we take all reasonable steps to preserve the security of the information in our own systems.
We take all reasonable steps to ensure we have safe systems, process and training in place to protect your information, including:
- Using secure response forms for personal and payment card details online
- Taking reasonable steps to preserve the security of cookie and personal information in accordance with our website terms of use and Privacy Policy
How long we keep your information:
We keep your personal information for as long as you continue to engage with us unless you advise us otherwise. This is in accordance with the Australian Privacy Principles and all other applicable laws including the Australian Charities and Not-for-profits Commission Act 2012 (Cth).
Personal Information that is no longer required for any purpose and belongs to a supporter who we have not engaged with (or has not engaged with us) for seven years or more will be deleted in accordance with the law.
If you request us to delete your PI, we will investigate, and if it is able to be deleted, we will action it. If it has to be retained for legal purposes, we will archive your information securely until the seven-year limit occurs and your information can be deleted, or legal requirements are satisfied.
How can I update my details or get access to my information?
Send a request via email to info@cmanz.org.au. Under the Privacy Act 1988 (Cth) you have the right to access your personal information. In some circumstances authorised by law we may be unable to provide you with access to all your personal information and where this occurs, we will explain why.
What do I do if I have a query or a complaint?
If you have any concerns or questions about this Privacy Policy, please contact us via info@cmanz.org.au
Once we receive your query or complaint, a CMANZ representative will provide you with a confirmation that we have received this and will update you about progress until a decision is made. We will then advise you of the decision as soon as possible.
If you are not satisfied with the decision, we can consider any other information you might like to provide us to support your concerns. If your complaint isn’t addressed to your satisfaction, you can refer the complaint to the Office of the Australian Information Commissioner.
